How to Hire an International Student

How many hours a week can an international student work on campus?
Immigration regulations limit international students to work only 20 hours a week during the spring and fall semesters.  In the summer and during official school breaks, the students can work up to 40 hours a week. 

I’d like to hire an international student as a graduate assistant for on-campus work.  What do I need to do? 
Graduate assistants and other student workers are hired electronically.  You need to submit a PBP by logging onto VIP.  Click on the “Employment” tab on the left side of the page.   On the next screen, click on the “Show Me” button next to “Student Hire” at the bottom of the page.  On this page, click on “Create New” and enter the Student Identification Number of the student you wish to hire.  On the following page continue entering the requested data and follow the instructions for submission.  The submitted PBP then goes into the cue of International Programs for Students.   After we approve the PBP, it then goes to the Graduate School for their approval as well.

How will I know if the PBP that I created and submitted was approved?
At present, there is no alert mechanism to inform  you when your PBP has been rejected.  Therefore, it is imperative that you check your “Rejection” box on a daily basis.  The reason for the rejection is listed in the “Comments” section on the PBP. 

Why would a PBP be rejected?
These are the most common reasons for PBP rejections:

  • Passport or I-20/DS-2019 expires before the ending date of the PBP
  • No local address on file
  • Not enrolled in enough credit hours during fall or spring semesters
  • Adding the new PBP will cause the student to exceed 20 hours per week
  • J-1 student has no work authorization
  • Student is on OPT
  • New student hasn’t reported to International Programs for Students Office

What if I need to make a change to my graduate assistant’s appointment after the PBP has been approved?
To make a change to an existing PBP, a PBP3G needs to originate in the student’s hiring department.   It can be used to make changes and terminations only.  The originating departments send these to the Graduate School, who then sends them to International Programs for Students.  From our office, we send them to Payroll.  If the Graduate School has not signed off on a PBP3G by the time we receive it, we send it to the Graduate School which will then forward to Payroll.
